What Spanish time recording requires
Royal Decree-law 8/2019 amended article 34.9 of the Spanish Workers' Statute: since 12 May 2019 employers must keep a daily record of working time, with each employee's specific start and end time.
Records are kept for four years and must be available to employees, their legal representatives and the Labour and Social Security Inspectorate, which can fine non-compliance.
The law does not impose a specific system. In 2019 the Court of Justice of the European Union asked for an objective, reliable and accessible recording system. This page is for information only: ask your employment adviser how it applies under your collective agreement.
How NexoCard AI handles it
- A time clock on any tablet, phone or computer with a camera: each person clocks in with their QR badge, an NFC reader or a PIN.
- Clock-ins from each person's own phone with a personal link, ideal for field teams, building sites or remote work. It saves the location at that moment and can be tied to their phone.
- Schedules by days, hours or shifts (night shifts too), with late arrivals, absences, overtime and early departures calculated automatically.
- Administrator corrections are logged with who made them and why, and schedule changes apply from a date without altering earlier days.
- Excel report with a period summary, daily detail and every clock-in, ready for payroll or to hand over when requested.
- Data hosted in the European Union and protected access for the admin team.
What is recorded for each clock-in
| Data | How it is recorded |
|---|---|
| Clock-in and clock-out | Exact date and time of every clock-in, per person |
| Person | That person's QR badge, PIN or personal link |
| Method and terminal | QR terminal, NFC reader, PIN or own phone |
| Location | Coordinates with a map link and a warning if outside the site (optional or mandatory) |
| Corrections | Who changed the clock-in, when and why |
| Hours worked | Calculated against that day's schedule, with overtime and absences |
Up and running in a morning
- Add your team under “People” and set their schedules.
- Create a terminal and open its link on the tablet at the entrance, or send each person their clock-in link by WhatsApp.
- Print the QR badges on A4 at card size or give each person a PIN.
- Check the day's record in the dashboard and export the month's Excel when you need it.
Which companies it suits
- Small and medium businesses with an office, shop, workshop or clinic moving away from paper sheets or a shared spreadsheet.
- Teams working away from the office (sales reps, technicians, building sites) who clock in from their phone with location.
- Companies that also want their whole team's digital business cards on the same platform.
Frequently asked questions
Is time recording mandatory in Spain?
Yes. Since 12 May 2019, article 34.9 of the Spanish Workers' Statute requires recording each employee's start and end time every day and keeping the records for four years.
Is a digital record with QR codes or phones valid?
The law does not impose a specific system: it can be digital as long as the record is daily, objective, reliable and accessible. NexoCard AI keeps each clock-in with date, time, method and, if enabled, location.
Can employees clock in from their own phone?
Yes. Each person gets a personal clock-in link; you can require their location when clocking in and tie the link to their phone so nobody else uses it.
Can I export the time record?
Yes. The Excel report includes the period summary, the daily detail and every clock-in of each person, by day, week, fortnight or month.
How much does it cost?
Attendance tracking is included in the Business Full plan: 150 USD per year + VAT for up to 100 people, with digital business cards for the whole team. No time clocks to buy.
